Automatic event booking—from website straight to CRM
Entertainment and recreation sector has dozens of booking services. But none of them are linked to corporate CRM (Custom Relationship Management) systems, so businesses often accept requests, fill in slots, and transfer data between systems manually.
Goals
1. Automated booking The client used to make all game bookings manually in Google calendar. A website booking system had to be launched to relieve the team from this burden.
2. Expanded accounting Booking information had to be pooled together with data about expenditures and revenue.
3. One-stop solution It was important for the client to be able to see booking time, payment, managers in charge of a specific order, and summary analytics in one system.
Solution
⚙️ Set up booking through website We built the entire process based on Planfix, a flexible enterprise management system. The user selects the date and time on the website, the system automatically checks with the Planfix calendar, and generates a booking. If the slot is taken, the system prompts the customer to choose another one, but the manager may as well contact the customer personally.
⚙️ Added payment status verification The system requests information from the bank, and if the payment is not made within three days, the booking is automatically canceled, while the customer gets a message. After that, a manager can call the customer and help them make another order.
⚙️ Merged information flows Order information was linked to other data that accumulate in the enterprise management system.
Result
1. Optimized staff operations All booking operations are now automated. At the same time, manual correction remains an option.
2. Ensured seamlessness All business data is pooled into one IT system that allows for accounting, analyzing, being in touch, and assigning tasks.
3. Implemented end-to-end analytics The company has received a full-fledged business analytics system that helps measure work efficiency, make projections, and find ways to improve.
